Your licence, permitted use, and our respective responsibilities.
By purchasing or using any MyCharityDB product, you agree to these terms. Please read them before purchasing. If you do not agree, do not purchase or use the product.

When you purchase a MyCharityDB product, we grant you a non-exclusive, non-transferable licence to use the software within your single organisation. This licence is perpetual for standalone products — it does not expire.
The licence covers all machines owned or operated by your organisation. It does not permit installation or use by any other organisation, even if that organisation is affiliated with or partnered with yours.
A "single organisation" means a single registered charity, unregistered community group, CIC, or similar entity with a single Charity Commission or Companies House registration number. If your organisation has multiple separate legal entities, each requires its own licence.

All intellectual property rights in the MyCharityDB software, including the database structure, code, reports, interface design and documentation, remain the property of MyCharityDB, a trading name of CrisisConnect. Your licence grants you the right to use the software, not to own it.
The MyCharityDB name and logo are proprietary. You may refer to the product by name in the ordinary course of use but may not use the name or logo in any way that implies endorsement or affiliation without our prior written consent.
We may release updates to MyCharityDB products from time to time. Minor updates (bug fixes and small improvements) will be made available to registered customers at no additional charge. Major version releases may be offered as a paid upgrade.
We reserve the right to change these terms at any time. Changes will be posted on this page with an updated date. Continued use of the software after a change constitutes acceptance of the new terms.
We reserve the right to discontinue any product. In the event of discontinuation, existing licences will remain valid — the software will continue to work. We will not be obligated to provide support for a discontinued product.
The SQL upgrade tier is provided as a managed service on a monthly or annual subscription basis. The following additional terms apply:
We will make reasonable efforts to ensure availability of the service. We do not guarantee 100% uptime and are not liable for losses arising from service interruptions, planned or unplanned.
Monthly plans have a minimum term of 3 months. Annual plans are contracted for 12 months and are non-refundable once the period has commenced.
You may cancel a monthly plan with one calendar month's notice after the minimum term has been served. On cancellation, we will provide your data in a portable format within 14 days. Data will be permanently deleted from our servers 30 days after the service end date.
On the SQL tier, we act as a data processor for the personal data you hold within the application. A separate data processing agreement (DPA) will be provided during onboarding. Both parties agree to comply with their respective obligations under UK GDPR.
We reserve the right to change subscription pricing. We will give at least 30 days' written notice of any price increase. If you do not wish to continue at the new price, you may cancel without penalty during the notice period.
MyCharityDB products are provided "as is". To the maximum extent permitted by law, we make no warranties — express or implied — regarding the software, including but not limited to warranties of merchantability, fitness for a particular purpose, or non-infringement.
We do not warrant that the software will be error-free, uninterrupted, or meet your specific requirements. You are responsible for satisfying yourself that the product is suitable for your needs before purchasing.
To the maximum extent permitted by law, our total liability to you for any claim arising out of or in connection with these terms or your use of the software shall not exceed the amount you paid for the product in the 12 months preceding the claim.
We are not liable for any indirect, incidental, special, consequential or punitive damages, including but not limited to loss of data, loss of income, or loss of business opportunity, even if we have been advised of the possibility of such damages.
Nothing in these terms excludes or limits our liability for death or personal injury caused by our negligence, fraud or fraudulent misrepresentation, or any other liability that cannot be excluded or limited under applicable law.
You are the data controller for any personal data you enter into the MyCharityDB application. You are responsible for:
We are not responsible for your organisation's compliance with data protection law in respect of the data you hold within the application.
These terms are governed by and construed in accordance with the laws of England and Wales. Any disputes arising from these terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
If any provision of these terms is found to be unenforceable, that provision will be limited or eliminated to the minimum extent necessary, and the remaining terms will continue in full force and effect.
