MyCharityDB is a trading name of CrisisConnect ("we", "us", "our"). We are the data controller for personal data collected through this website and the purchase process.

This policy applies to the mycharitydatabase.org website and the purchase and support process. It does not apply to data your organisation holds within the MyCharityDB application itself — see section 6 for more on that.
Purchases are processed by Paddle, our payment provider, who acts as the merchant of record. Paddle collects and processes your name, email address and payment details on our behalf. We receive your name, email address and purchase details (product, date, amount) from Paddle. We do not receive or store your payment card details.
If you choose to register your purchase via the form on our Getting Started page, we collect:
Registration is voluntary. You can use MyCharityDB without registering.
When you email us for support, we collect the information you provide in your email, including your name, email address and any details about your query.
We may use basic analytics to understand how visitors use our website. See section 9 for details.
We use the data we collect for the following purposes:
We will never sell your data to third parties, use it for unrelated marketing, or share it with any party other than those described in section 5.
Under UK GDPR, we process your data on the following bases:
Paddle (paddle.com) is our payment provider and acts as the merchant of record for all purchases. Paddle processes your payment and purchase data in accordance with their own privacy policy, available at paddle.com. By making a purchase, you are also subject to Paddle's terms.
We may use a third-party email or mailing list service (such as Mailchimp) to send update notifications to registered customers. If we do, your name and email address will be shared with that provider for this purpose only.
We use Google Analytics (GA4), provided by Google LLC, to understand website traffic and how visitors interact with our site. Google Analytics uses cookies to collect anonymised data including pages visited, time on site, and approximate location (country/region level). We do not enable advertising features, remarketing, or user-level data collection. Data collected by Google Analytics is processed by Google in accordance with Google's privacy policy. You can opt out of Google Analytics tracking using the Google Analytics opt-out browser add-on.
We do not share your data with any other third parties.
The MyCharityDB standalone application (Access version) stores all data locally in files on your own machine or network. We have no access to any data you enter into the application, and that data never reaches our servers.
If you are on the SQL upgrade tier, your data is hosted on our managed servers. In this case, we act as a data processor on your behalf. You remain the data controller for the personal data of your members, volunteers and beneficiaries. A data processing agreement (DPA) is provided as part of the SQL tier onboarding. SQL tier data is stored on UK-based infrastructure, encrypted in transit and at rest, and never shared with third parties.
Important: You are responsible for your own compliance with UK GDPR in respect of the personal data you hold about your members, beneficiaries and other contacts within the MyCharityDB application. This includes having an appropriate lawful basis for processing, maintaining a privacy notice for your service users, and responding to data subject rights requests.

To unsubscribe from update emails, use the unsubscribe link in any email we send, or email us directly.
We use Google Analytics (GA4) on this website. Google Analytics sets cookies to collect anonymised information about how visitors use the site, including which pages are visited, how long visitors stay, and approximate geographic location (country or region level only). This data helps us understand what content is useful and improve the site over time.

We do not use advertising cookies, remarketing cookies, or any cookies that track you across other websites. We do not share Google Analytics data with any third party other than Google as part of the GA4 service.
