The standalone version is perfect for most small charities. When your team grows, or when you need multiple people working in the database at the same time, the SQL upgrade gives you exactly that — without changing the interface your staff already know.
Starting on the standalone version is the right move for most organisations. The SQL upgrade is there when you need it.
Plans are based on the number of modules you're using. All plans include data migration, managed hosting, backups and email support.
The SQL tier is a fully managed service. You focus on running your charity — we handle the technical side.
Multiple staff can open and work in the database simultaneously without conflicts. No more waiting for a colleague to close the file.
Staff can securely access the database from any location — office, home or in the field. Ideal for hybrid working arrangements.
Regular automated backups, managed by us. No risk of a corrupted file or lost data. Restore points available if anything goes wrong.
As your data grows, the SQL backend handles it far more efficiently than a standalone file. No slowdowns as your records increase.
SQL tier customers receive faster response times than standalone users. We treat your database as a critical system.
The setup fee covers your data migration. We move everything from your standalone database to the managed backend — no data loss, no disruption.
No — you can start directly on the SQL tier if you know that's what you need. However, most organisations start on the standalone version and upgrade when they're ready. The standalone purchase price is not deducted from the SQL setup fee.
No. The interface your staff use remains identical. The SQL backend is invisible to them — they simply open the same database they're used to, with the added benefit that multiple people can use it at the same time.
The setup fee covers data migration from your standalone database, configuration of your SQL environment, secure access setup for your team, and a handover session to make sure everything is working correctly before we go live.
Monthly plans have a 3-month minimum term. After that, you can cancel with one month's notice. If you cancel, we'll provide your data in a format you can use. Annual plans are non-refundable but include 2 months free, making them the best value option for committed users.
Your data is hosted on UK-based infrastructure and never leaves the UK. It is encrypted in transit and at rest. You remain the data controller for GDPR purposes — we act as a data processor on your behalf.
Remote access is provided via a secure VPN connection. We'll set this up for you during the onboarding process and provide instructions for your staff. You'll need to have the Access Runtime or full Microsoft Access installed on each machine that needs access.
Get in touch and we'll talk through which plan is right for your organisation.
