SQL upgrade tier

When you're ready to grow.

The standalone version is perfect for most small charities. When your team grows, or when you need multiple people working in the database at the same time, the SQL upgrade gives you exactly that — without changing the interface your staff already know.

How it works

The upgrade journey.

Starting on the standalone version is the right move for most organisations. The SQL upgrade is there when you need it.

01
Buy standalone
Purchase a standalone product or bundle. One-off cost, works offline, no ongoing commitment.
02
Grow into it
Staff grow, data volumes increase, or multiple people need to work in the database simultaneously.
03
We migrate you
We migrate your existing data, configure secure access for your team, and make sure everything is working.
04
Monthly licence
Pay monthly (or annually at a discount). Includes hosting, management, backups and support.

The interface stays exactly the same. Your staff open the same familiar database — the only difference is it now lives on a managed backend, supports multiple simultaneous users, and is accessible securely from any location.

Annual billing saves you two months. Pay for 10 months and get 12. Annual billing also removes the setup fee, making it the best value option for organisations planning to stay on the SQL tier long-term. A minimum 3-month term applies to monthly billing.

What you get

Everything managed for you.

The SQL tier is a fully managed service. You focus on running your charity — we handle the technical side.

Multi-user access

Multiple staff can open and work in the database simultaneously without conflicts. No more waiting for a colleague to close the file.

Remote access

Staff can securely access the database from any location — office, home or in the field. Ideal for hybrid working arrangements.

Managed & backed up

Regular automated backups, managed by us. No risk of a corrupted file or lost data. Restore points available if anything goes wrong.

Better performance

As your data grows, the SQL backend handles it far more efficiently than a standalone file. No slowdowns as your records increase.

Priority support

SQL tier customers receive faster response times than standalone users. We treat your database as a critical system.

Data migration included

The setup fee covers your data migration. We move everything from your standalone database to the managed backend — no data loss, no disruption.

Common questions

SQL upgrade FAQ.

Do I need to buy the standalone version first?

No — you can start directly on the SQL tier if you know that's what you need. However, most organisations start on the standalone version and upgrade when they're ready. The standalone purchase price is not deducted from the SQL setup fee.

Will my staff need to learn a new system?

No. The interface your staff use remains identical. The SQL backend is invisible to them — they simply open the same database they're used to, with the added benefit that multiple people can use it at the same time.

What does the setup fee cover?

The setup fee covers data migration from your standalone database, configuration of your SQL environment, secure access setup for your team, and a handover session to make sure everything is working correctly before we go live.

What if we want to cancel?

Monthly plans have a 3-month minimum term. After that, you can cancel with one month's notice. If you cancel, we'll provide your data in a format you can use. Annual plans are non-refundable but include 2 months free, making them the best value option for committed users.

Where is our data stored?

Your data is hosted on UK-based infrastructure and never leaves the UK. It is encrypted in transit and at rest. You remain the data controller for GDPR purposes — we act as a data processor on your behalf.

How do we access the database remotely?

Remote access is provided via a secure VPN connection. We'll set this up for you during the onboarding process and provide instructions for your staff. You'll need to have the Access Runtime or full Microsoft Access installed on each machine that needs access.
